Organizations use the Platform to manage their hiring workflows. When we process candidate or employee data on an organization’s instructions, that organization controls the data and Tarkflo acts as its service provider or processor. We act as a controller for data used to manage our own accounts, billing, website, security, and business operations.

2. Information We Collect

Depending on how you interact with Tarkflo Hire, we may collect:

Account and organization data, such as names, work contact details, roles, authentication data, and organization settings
Recruiting data, such as job details, applications, resumes, skills, work history, screening responses, notes, evaluations, and hiring-stage information
Interview data, such as audio or video where enabled, transcripts, answers, scheduling details, scores, summaries, integrity signals, and interviewer feedback
Offer, onboarding, client-portal, and collaboration data submitted through enabled workflows
Billing and transaction details, with payment-card data generally processed by our payment providers
Device, log, and usage data, such as IP address, browser, timestamps, pages or features used, diagnostics, and security events
Support requests, communications, and information you provide through our website or to our team

3. How We Use Information

Run customer-configured recruiting workflows and make candidate information available to authorized users

We do not sell personal data. We do not make final hiring decisions; the organization using Tarkflo Hire determines how Platform outputs are reviewed and used.

4. AI-Assisted Processing

Tarkflo Hire may process resumes, application information, interview responses, transcripts, job criteria, and related hiring data to generate AI-assisted outputs requested by an organization. These outputs may include matches, questions, scores, summaries, or recommendations and may be inaccurate or incomplete. Organizations are responsible for human review and for using the outputs lawfully. Where third-party AI or infrastructure providers process this data for us, they do so as service providers subject to contractual restrictions.

5. Data Retention

We retain personal data for as long as needed to provide the Platform, satisfy the customer organization’s instructions, maintain security and business records, resolve disputes, and comply with legal obligations. Retention periods vary by data type, account settings, contract, and applicable law. When data is no longer required, we delete or anonymize it in accordance with our retention practices. Backup copies may remain for a limited period before being overwritten.

6. Cookies

We use essential cookies and similar technologies for authentication, security, preferences, and core functionality. With your consent where required, we may also use analytics technologies to understand website and Platform usage. 7. How We Share Information

The customer organization and its authorized recruiters, interviewers, administrators, clients, and reviewers
Service providers that support hosting, storage, communications, analytics, payments, security, customer support, and AI-assisted features
Third-party products connected by an authorized organization, such as applicant tracking, calendar, email, or collaboration tools
Professional advisers, authorities, or other parties when required by law or necessary to protect rights, safety, and security
A successor or relevant party in connection with a merger, financing, acquisition, reorganization, or sale of assets

We require service providers to protect personal data and use it only for the services they provide to us.

8. Your Rights

Depending on your location, you may have rights to access, correct, delete, restrict, object to, or receive a portable copy of your personal data, and to withdraw consent where processing relies on consent. These rights may be subject to legal exceptions. If an employer or recruiting organization invited you to the Platform, contact that organization first because it controls your hiring data. You may also contact us, and we will assist the organization where required.

We use administrative, technical, and organizational safeguards designed to protect personal data, including access controls and encryption where appropriate. No system is completely secure. Tarkflo and its service providers may process data in countries other than your own. Where required, we use recognized transfer mechanisms and contractual safeguards for international transfers.

Tarkflo Hire is intended for workplace recruiting and is not directed to children. Organizations must not use the Platform to collect children’s personal data unless they have a lawful basis, provide all required notices, and obtain any required consent.
